Every party that ran smoothly had one thing in common: someone started planning early and worked off a list. Here's the checklist we used ourselves, broken into stages.

6-8 weeks before

  • Pick a date and venue. Home, garden, banquet hall or outdoor venue — lock this in first since everything else depends on it.
  • Set a headcount and budget. Decide roughly how many kids and adults, and how much you're comfortable spending. Everything below scales to this number.
  • Choose a theme. Jungle, candy, carnival, mermaid, superhero — the theme drives decor, cake, favors and even games, so settle it early.
  • Book entertainment and decor. Good entertainers, DJs and decorators get booked out on weekends, especially around school holidays. Confirm dates now, not later.

2-3 weeks before

  • Send invitations with the date, time, venue and RSVP deadline. A simple WhatsApp invite works fine, but send it early enough for parents to plan around it.
  • Order the cake and confirm flavour, size and design with the baker.
  • Finalise the menu for kids and adults separately — kids' party food and adult catering are usually quite different.
  • Plan return gifts / party favors and order them with enough lead time for customisation.

Week of the party

  • Confirm headcount with your caterer and venue based on RSVPs.
  • Reconfirm every vendor — decorator, entertainer, photographer, caterer — with exact timing and contact numbers.
  • Prep a playlist if you're not hiring a DJ.
  • Have a backup plan for weather if any part of the party is outdoors.

Day of the party

  • Let the decorator in with enough buffer before guests arrive — 2-3 hours is typical for a full theme setup.
  • Brief the entertainer or compere on timing: when to start games, when the cake cutting happens, when favors go out.
  • Keep a small kit handy: tape, scissors, extra balloons, tissues, and a first-aid box.
  • Assign one adult (not you) to handle logistics during the party, so you can actually enjoy it.
The parties that felt effortless on the day were almost always the ones where the planning started six weeks earlier, not six days earlier.
